How to Cut No-Shows with In-Chat Deposits (2026 Operator Guide)

August 15, 2026 · 7 min read

A no-show is rarely malice. It is usually a booking the passenger never truly committed to, because committing cost them nothing. The fix is structural: ask for money at the moment of highest intent, in the same conversation where the quote appeared. Here is how to design that without scaring off legitimate work.

Why the quote moment matters

  • Intent decays — a passenger comparing three operators is most committed in the seconds after seeing an acceptable price.
  • Channel switching kills conversion — "we'll email you a payment link" introduces a new app, a new inbox and a delay.
  • A card on file changes behaviour — a booking attached to a payment is treated as an appointment, not an idea.
  • Evidence — a timestamped payment plus a confirmation message settles almost every later dispute.

A cancellation window that is fair and enforceable

  1. Define one window per job type — for example a longer window for weddings and multi-vehicle work than for a local pre-book.
  2. State whether the deposit is refundable, transferable to a new date, or retained.
  3. State what happens when the passenger cancels after the driver is en route.
  4. Publish it on your refund policy page and repeat the key line inside the booking confirmation message.
  5. Apply it consistently — an unenforced policy is worse than none, because it trains repeat customers to ignore it.

BookingBot's own licences are one-off and non-refundable once purchased, which is exactly why the product ships with a demo first. Apply the same principle to passengers: make the terms visible before the payment, not after.

The message flow that works

  1. Qualify — date, pickup, destination or hours, passengers, luggage, vehicle class.
  2. Quote — one clear total, with what is included and excluded.
  3. Ask — deposit or full payment, with the amount and the cancellation line in the same message.
  4. Pay — a Stripe link inside the chat, no channel switch.
  5. Confirm — job reference, driver assignment status, and the policy restated.
  6. Remind — the day before and on the day of travel, with a reply option to amend.

How to choose your deposit level

Step 1 — Rank job types by cost of failure

A missed eight-hour wedding charter costs far more than a missed ten-minute local fare. Deposit strength should follow that cost, not a single company-wide rule.

Step 2 — Test one job type at a time

Introduce a deposit on your worst-performing job type first and compare completed bookings and no-shows against the previous equivalent period.

Step 3 — Keep a manual override

Give staff the ability to waive a deposit for known account clients, so the policy protects revenue without insulting your best customers.

Frequently asked questions

Will asking for a deposit lose me bookings?

It loses uncommitted enquiries, which is the point. Measure completed, paid bookings rather than raw enquiry volume before judging it.

What payment provider does BookingBot use?

Stripe, connected to your own account, so funds settle directly to you. There is no commission per booking on top.

Can deposits be taken for account clients too?

Yes, though most operators keep account work on invoice and reserve deposits for one-off retail bookings.
